Documents in myDATA: how to find which invoices are missing
In short
Every invoice you receive from a Greek business is transmitted to myDATA by its issuer, and you or your accountant classify it as an expense. Since 1 January 2025 there is no margin for deviation: the expenses in the VAT return can't exceed what has been transmitted to myDATA. A missing invoice means input VAT you can't offset, unless you spot it and transmit it before the VAT return deadline.
E-timologio.gr runs this check automatically every month: it matches your documents with myDATA and shows you what's missing before the VAT return. See how.
Where to see your documents in myDATA
Your documents are in AADE's Electronic Books (myDATA), which you access with your Taxisnet credentials. Income, what you issue, and expenses, what others have issued to your tax ID, appear separately. Every document has its own Unique Registration Number (MARK).
For an expense invoice to count in your books, being in myDATA isn't enough: it also has to be classified, stating what kind of expense it is, for example purchase of goods or general expense, and whether its VAT is deductible. Your accountant usually does the classification from their software, by the VAT return deadline.
Why it matters: the VAT return is "locked" to myDATA
Since 1 January 2024, VAT returns are pre-filled from myDATA data. The margin for deviation narrowed during 2024 and was abolished from 1 January 2025:
- Income in the VAT return can't be less than what has been transmitted to myDATA.
- Expenses can't be more than what has been transmitted to myDATA.
What this means for your expenses
In practice, a supplier invoice that hasn't been transmitted doesn't fit in the return, and its VAT isn't offset. For a business with dozens of invoices a month, a few missing ones are enough to pay more VAT than it owes.
Why an invoice is missing from myDATA
- The supplier hasn't transmitted it yet, or didn't transmit it at all (omission).
- They transmitted a different amount than the one on your document (deviation).
- They transmitted it with the wrong recipient tax ID, so it shows up under another business.
- They cancelled it and issued a new one, with a new MARK.
- It's an invoice from a foreign supplier: the issuer doesn't transmit these, the recipient does.
- It's a retail receipt without your tax ID, so it isn't linked to your business.
Matched and non-matched documents
- Matched (αντικριζόμενα) documents are transmitted by the issuer and seen by the recipient too, such as invoices between Greek businesses. You just classify them.
- Non-matched (μη αντικριζόμενα) documents are those the issuer has no obligation to transmit, such as invoices from abroad. The recipient transmits them, otherwise they aren't in myDATA and don't count in the recipient's books.
- The recipient also transmits non-matched documents when the amount the issuer transmitted doesn't match the real one.
- Either way, the accountant needs the document itself: there's nothing in myDATA to copy from. With e-timologio.gr you send it with an email or a photo, and they find it there with its details already extracted.
What to do when something is missing or doesn't match
First you need to know what's missing: that means comparing the documents you hold with the myDATA list, one by one. E-timologio.gr does this step automatically. Then:
- Ask the supplier to transmit or correct it. It's their obligation and the cleanest fix.
- If they don't, your accountant transmits the document as an omission, using the details of the document you have.
- If the amount differs, they mark it as a deviation and transmit the correct amount. A deviation concerns the value before VAT.
- All of this happens by the VAT return deadline for the period. That's why the check is needed every month or quarter, not at the end of the year.
How e-timologio.gr finds what's missing from myDATA, automatically
Comparing by hand, document by document and MARK by MARK, is the most time-consuming job of the month, for you and for your accountant. E-timologio.gr does it automatically:
- You send your documents with a forwarded email or a phone photo. Date, amounts, tax ID and line items are extracted automatically.
- For each month, the invoices in myDATA appear next to your own documents and are matched automatically by supplier, amount and date.
- You see immediately what's missing on both sides: myDATA invoices you don't have in hand, and your documents that haven't been transmitted.
- The month's VAT is calculated in real time from your myDATA data, before the return.
- Your accountant sees the same archive and knows what to transmit as an omission. See how it works for the accounting office.
